Accounts Payable and Procurement Accountant, US

SUMMARY

As the Accounts Payable and Procurement  Accountant you will work in a fast-paced environment within a small team working across financial reporting and finance operations, and you will report into the Financial controller. You will be posting entries in the finance system, setting up payments, performing regular balance sheet reconciliations, supporting with monthly management accounts and the yearly statutory audit; you will help to maintain an appropriate internal control framework across IWPR and be involved in improvement projects. 

IWPR is made up of 4 separate legal entities (IWPR charity (UK), IWPR UK Limited (LTD), IWPR Netherlands (NL) and IWPR US (US).  This role will be supporting the US, UK and NL entities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Manage Vendors, Bills, Credit Card Payments:

  • Gather and record information for vendors in MIP, maintain files and accounts with required forms and information including W-9;
  • Maintains up to date ACH information;
  • Review accounts payable invoices entered in MIP with accuracy, proper coding and compliance with internal controls;
  • Create batches for ACH and credit card payments for timely payment of invoices;
  • Reconcile bank statement and AP aging report;
  • Work with staff to complete AP related documents;
  • Prepare paperwork for procurement and coordinate with relevant staff for approvals.

Assist with monthly close:

  • Review staff credit card reports;
  • Weekly review of bank account for direct debits and returns;
  • Prepare AP accrual schedule;
  • Assist in GL reconciliation preparation.

Assist with travel related expenditure:

  • Assist in the review and posting of the bi-monthly consolidated invoices from our travel provider;
  • Assist in the review and posting of staff travel expenses.

Assist with HQ Procurement:

  • Gather paperwork as per policy;
  • Review and follow-up on all procurements;
  • Update the procurement tracker;
  • File all procurement documentation for audits.

KNOWLEDGE, SKILLS & ABILITIES

  • Bachelor's Degree in Accounting, or related field;
  • 2 or more years’ experience of working in a similar role;
  • US Procurement experience;
  • Strong organizational skills with the ability to work under pressure, prioritise and meet deadlines;
  • Excellent critical thinking and problem-solving skills whilst demonstrating sound judgment;
  • Excellent numeracy & financial analysis skills, with exceptional attention to detail and ability to produce accurate work;
  • Possess an agile approach and be able to assess risks and development for a strict internal control environment, whilst building strong working relationships at all levels;
  • Experience in the NGO/charity sector would be desirable, preferably within an international organization;
  • Strong team player;
  • Self-starter, comfortable taking the initiative to solve issues;
  • Strong excel skills and experience of working with financial software (IWPR use MIP);
  • Advanced knowledge of and ability in accounting principles and financial reporting.
